To equip our Work-Bench portfolio companies with actionable insights, we brought together three marketing leaders from our portfolio for a roundtable discussion. They shared their experiences, from crafting intimate, invite-only gatherings to executing large-scale conferences, highlighting the strategies, tactics, and lessons learned. 

Whether you're planning intimate dinner or large-scale experiences, here are actionable tips to maximize your impact in 2025:

For any enterprise tech startup, building long-term relationships with customers and prospects is essential. Investing in high-quality events and content is one strategy for building trust and fostering engagement to provide value beyond typical Sales calls.

1. Master Event Logistics and Execution

Flawless execution sets good events apart from great events. The planning process should be thorough, with contingencies for all the potential issues that can (and likely will) pop up.

Lessons Learned:

  • Workback Timelines: Begin planning at least three months in advance, creating a detailed timeline for each phase of execution.
  • Be Prepared for Drop-offs: For larger events, expect 70% of your invitees may decline, cancel last-minute, or fail to respond. Build a robust attendee list to mitigate these effects and make sure your venue (virtual or IRL) is still full. 
  • Test the Platform: Familiarize your team with the event venue or platform in advance. This way they can be experts in navigating issues. 
  • Always make sure you have strong Internet! We recommend having your phone handy as a backup hotspot if needed. 
2. Craft Scalable, Compelling Content

Content is the heart of your event. To engage audiences while managing limited resources, streamline content creation.

Suggested Approach:

  • Diverse Sessions: Offer a mix of formats to maintain interest, such as customer panels, keynote presentations, data insights, and roundtables. When it comes to programming, less is often more, so priority quality vs. quantity of sessions.
  • Efficient Preparation: Use questionnaires and templated slide decks to help speakers prepare quickly.
  • Customer-Led Content: Showcase customer success stories, allowing them to talk about your product more authentically than if you were to do so yourself.
  • Panel Variety: Incorporate dynamic topics like generational perspectives, which resonate with wide audiences.
  • Ask yourself: Did attendees learn something? Did they have fun? Was it worth their time? Do they want to come back next year and bring a colleague?
3. Effective Event Marketing

Promotion is key to attracting the right audience. Utilize your existing networks and tools to maximize reach.

Marketing Strategies:

  • Sales Enablement: Provide your BDR team with tools and content to connect with prospects before and after the event.
  • Email Campaigns: Use platforms like Hubspot to engage your network of customers and prospects.
  • Social Media Promotion: Highlight your speakers and sessions on LinkedIn to drive organic interest.
4. Post-Event Follow-Up

The event doesn’t end when the last session concludes. Leverage the momentum to build deeper connections.

Key Actions:

  • Share recorded sessions, presentation decks, and other materials with attendees.
  • Use feedback to refine future events and maintain engagement with participants.
  • Continue outreach with warm intros to potential speakers and partners for upcoming events.

A strong theme and cohesive branding make your event stand out. Develop a clean, professional agenda and event webpage to set the tone. A well-designed lookbook showcasing key moments and speakers can leave a lasting impression.
